# Find customers, jobs, stock, and messages from anywhere in ShopWrk

> Press Cmd+K or Ctrl+K to search customers, jobs, invoices, messages, calls, voicemails, and film stock. Type in your own words and ShopWrk turns that into a search.

When a customer is on the phone, you do not have time to click through Contacts, Jobs, and Invoices. Press **Cmd+K** on a Mac or **Ctrl+K** on Windows from anywhere in ShopWrk. A search box opens on top of the page you were already on.

This is shop search. It is not a new AI chat. Click a result to open that customer, job, invoice, conversation, or stock item. Use **Quick AI** only when you want a written answer, then **Open in full chat** to continue under **AI** in the sidebar.

## How it works

After you sign in, press **Cmd+K** on a Mac or **Ctrl+K** on Windows. You can do this from any page.

Start typing. Results show as you type. An invoice number, phone number, VIN, or license plate jumps to the top. A misspelled customer name usually still finds them.

You can also type the way you talk at the front desk. ShopWrk reads the meaning of what you typed, turns it into a search, and runs that search. A short heading above the results shows what ShopWrk actually ran, such as **Jobs on January 4, 2026**. That reading is how you tell whether ShopWrk understood you.

Ordinary natural-language search does **not** use Quick AI credits. Credits apply only when you choose the explicit **Quick AI** path for a written answer.

Exact invoice numbers, phone numbers, VINs, license plates, and simple name lookups stay fast. Those do not wait on interpretation.

Click a result to open it. A customer opens their contact page. A job opens the job. An invoice opens the invoice. A conversation opens the thread. Search closes and you land on that record.

Search looks through your current shop. You only see what your login can already open. Permissions still gate every result and every create command.

## When search vs Quick AI

* Use shop search when you want a list of records to open (customers, jobs, invoices, stock, unread messages).
* Use **Quick AI** when you want a written answer or a short conversation in the same box.
* Typing in your own words for search is still search. It does not spend Quick AI credits.
* If you need drafts, coaching, or a longer thread, open **AI** in the sidebar or click **Open in full chat** after Quick AI.

## When the reading is wrong or empty

Empty results for an interpreted search still show the reading ShopWrk used. That helps you tell a misunderstanding apart from an empty shop (for example, no unpaid invoices right now).

If interpretation fails because of a timeout, outage, or a bad parse, you get a distinct message. That is not the same as "no matching records." Simple search still works in those cases, so exact numbers and names keep finding records.

If the heading shows the wrong idea, edit the search text and try again. There is no interview or clarification dialog. Change the words until the reading matches what you meant.

## What you can find

* Customers
* Vehicles
* Services
* Jobs
* Estimates
* Invoices
* Payments
* Conversations and unread messages
* Missed calls and voicemails
* Film and material stock
* Leads and deals
* Tasks
* Booking requests
* Warranties

You can also search ShopWrk pages from the same box, so you do not have to hunt through the sidebar.

Completed, cancelled, inactive, and archived records still appear when they match. Deleted records do not.

## Example searches

Type a name if you have one. Or type it the way you would ask whoever is sitting at the front desk.

* `jobs tomorrow`
* `next five jobs`
* `jobs assigned to Jordan next Friday`
* `next month's jobs excluding cancelled`
* `customers with a Porsche 911`
* `ceramic coating jobs last month`
* `unpaid invoices`
* `invoices more than 7 days overdue`
* `largest five unpaid invoices`
* `estimates over $2,000`
* `unread messages`
* `waiting for a reply`
* `missed calls not called back`
* `new voicemails`
* `XPEL Stealth leftover`
* `do we have enough film for this week's jobs`
* `pending booking requests tomorrow`
* `incomplete tasks for Maria`
* `warranties installed last month`
* `lost ceramic coating leads`

Dates follow your shop's timezone. Unpaid and overdue invoices use the due date. Estimates still waiting use the date you sent them. Completed jobs use the date the work actually finished, not the original schedule date.

If the search is asking for a total, you get the matching records plus one number: outstanding invoice balance, or the combined value of estimates still waiting.

You can also search with wording from service details or notes on customers, vehicles, jobs, estimates, invoices, and inventory. Use the wording you remember when you do not know the exact name or number. Exact invoice numbers, phone numbers, VINs, and other identifiers still work best. This does not search inside old message bodies or call transcripts.

### Walkthrough: find overdue invoices in your own words

1. Press **Cmd+K** (Mac) or **Ctrl+K** (Windows).
2. Type `invoices more than 7 days overdue` and wait a moment for the heading to show what ShopWrk ran.
3. Read the heading. If it matches what you meant, click an invoice in the list.
4. If the heading is wrong, edit the text (for example `unpaid invoices past due`) until the reading looks right.
5. If you only need invoice `1042`, type that number instead. Exact identifiers stay fast and skip waiting on interpretation.

## Start a new estimate, invoice, or job from search

Type what you want to create, the way you would say it at the front desk.

* `new estimate for Maya's Porsche`
* `create invoice for job 1042`
* `new job for Jordan`

Shop search shows a create command under **Commands**. Click it to open the create screen. When ShopWrk can match the customer, vehicle, or job you named, those fields are already filled in. If more than one match shows up, pick the right one. If none match, you still get the blank create screen.

You only see create commands your login is allowed to run.

## Use the keyboard

Use the arrow keys to highlight a result. Press **Enter** to open it. Press **Cmd+K** on a Mac or **Ctrl+K** on Windows while a result is selected to see other actions for that result.

## Find messages, calls, and voicemails

If you want the inbox without leaving the page you are on, search for it the same way.

* `unread conversations` or `unread messages` shows what still needs a look
* A customer name plus `latest conversation` opens their most recent thread
* `waiting for a reply` finds threads where the customer messaged last
* `missed calls` and `missed calls not called back` surface calls that still need a return call
* `new voicemails` lists voicemails you have not handled yet

Results stay limited to people, phone numbers, and call or message status. ShopWrk does not dig through the words inside old messages for these searches. If you want that kind of answer, use **Quick AI** instead.

Click a result to open the conversation or the customer. You only see calls and voicemails if your login can already open calling history.

## Check film and material stock

If you want to know what is on the shelf, ask shop search.

Type a brand, product line, width, or shade. Results show on-hand quantity and how many usable rolls you still have. Press the **right arrow** on a family to drill into variants and physical rolls.

You can also ask whether upcoming work has enough material. Try `do we have enough film for this week's jobs` or `which jobs are short on stock`. ShopWrk answers from the stock on hand and how your services use that stock. If it does not know which stock a service uses, you get a clear next step instead of a guess. Different widths and variants are not mixed into one pool.

You only see inventory when your login can already open Inventory.

## Look inside a customer

When a customer is in the results, press the **right arrow** to stay in search and see what is connected to them:

* Jobs
* Vehicles
* Estimates
* Invoices
* Conversations
* Payments
* Deals
* Tasks
* Warranties

That is how you go from finding Maria to her unpaid invoice or last PPF job without opening three different pages first.

Keep typing to search inside that list. Press **Escape**, or press the **left arrow** when the box is empty, to go back to the previous results. Escape backs out one level first. Press it again if you want to close search.

## Attach a customer with @

Type **@** plus a customer name to pin that customer on the search. Press **Tab** when their name is highlighted to confirm it.

After they are pinned, the next search or **Quick AI** question stays about that customer. Use this when you already know who they are and you want their jobs or invoices, not a list of people with a similar name.

## Ask Quick AI

Search comes first. Use **Quick AI** when you want a written answer instead of a list of records.

When the box has text, a **Quick AI** action appears. Click it, or press **Tab**, to send what you typed. The search box stays where it is. The answer shows underneath.

Natural-language shop search (typing in your own words and getting a result list) is separate from Quick AI. Search interpretation does not spend Quick AI credits. Credits apply when you choose Quick AI for a conversational answer.

After the first answer, the box says **Ask a follow-up…**. Type the next question and press **Tab** again. That stays in the same thread.

Click **Open in full chat** to keep going in the full AI workspace. That is the same conversation, not a copy. It also shows up under **Recent chats** on the [AI assistant](/features/ai-assistant) page.

If search finds nothing, **Ask Quick AI about…** is the next step. Nothing is sent until you press Enter or Tab.

<Info>
  Quick AI is a shortcut into the AI assistant you already have. For longer work like drafts or sales coaching, open **AI** in the sidebar.
