# Send documents and collect signatures

> Build reusable document templates, send them for e-signature, and keep signed copies with audit trails attached to the right customer.

Styling shops run on paperwork customers never see coming: liability waivers, care instructions, warranty terms, approval forms. The Documents area lets you turn each of those into a template once, then send and sign them in minutes from any device. Signed documents stay attached to the customer's profile with a full audit trail.

Open **Documents** from the sidebar.

## Templates

A template is the reusable skeleton of a document. Build it once and every future send starts from it.

Common templates for styling shops:

* Liability waiver and paint correction disclaimer
* Ceramic coating aftercare agreement
* PPF warranty terms
* Vehicle condition report
* Fleet service authorization

    Go to Documents and click **New Template**. Give it a name customers will recognize.

  <Step title="Write the body">
    Paste or write your content. Use personalization fields like the customer's name, vehicle, and services so every send fills itself in.

  <Step title="Place signature blocks">
    Drag signature and date fields where the customer should sign. Multiple signers are supported for fleet or co-owned vehicles.

  <Step title="Save">
    The template is ready to use from Documents, from a contact profile, or from inside a job.

  Personalization fields pull from the contact and job records automatically. A waiver sent from a job already knows the vehicle, the services booked, and who is signing.

## Sending for signature

    Click **New Document**, choose the template, and select the customer or job it belongs to.

  <Step title="Review the filled copy">
    Check that the auto-filled details look right. Edit anything before it goes out.

  <Step title="Send it">
    Send by email or SMS. The customer gets a secure link that opens on their phone, no account or app needed.

  <Step title="Watch it come back">
    You get notified when they sign. Pending documents show their status, and reminders can nudge anyone dragging their feet.

## Audit trails

Each document has an audit trail recording who signed, when, and the exact content they agreed to. Open the document detail to review the audit history and download the completed PDF. That record matters most when a dispute shows up months later about what a customer was told before a coating went on.

  Signed documents are immutable. If terms change, send a new version rather than editing history.

## Where documents show up

* On the contact's profile under Documents.
* On the linked job, next to photos and notes.

The customer portal currently exposes estimates and invoices rather than general signed documents, so keep signed paperwork on the contact record. Warranty certificates are their own workflow; see [Warranties](/features/warranties).
