Lead Closer texts your customers about wrap, tint, and PPF work. It answers from your catalog, can take a ShopWrk Pay deposit, and books a bay after they pay. It is not the chat in the sidebar. That chat helps you run the shop. Lead Closer talks to the customer.
Open Agents, then Lead Closer.
Overview is the setup chat. Configure is where you set Response Mode, turn services on, and edit Playbooks. Lead Closer Knowledge and Learnings sit next to each other. Analytics is its own tab.
Live Lead Closer needs ShopWrk Pay on, a shop phone number you own, and approved business texting. Lead Closer is on the Pro plan. See Billing if texting registration is still open.
Test vs live
Test uses your unpublished settings. It does not text a real customer. It does not take a deposit, book a bay, or write live deals. A deal is the job you are trying to book with that customer. Test data is kept for 30 days, then dropped.
Use Test like you would ride along with a new closer. Mark a reply Helpful or Not helpful, or suggest a better reply. That files work for review. It does not change what live customers see.
Restart starts the Test customer over.
Publish
When the draft is right, Publish. Publish shows what changed, what is blocked, and what is true in the shop right now. Then it turns the whole draft on at once.
Rollback publishes an older version again. It does not unsend texts, undo payments, or pull jobs off the calendar.
If you have not run Test, leave Auto off.
Playbooks, Lead Closer Knowledge, and Learnings
A Playbook is how you want that service sold. Goals, common questions, objections, proof, and follow-up notes live here. Start from a blank page, a ShopWrk starter, or a shop template. Editing a template does not rewrite Playbooks you already attached to a service.
Shop prices, coverage, deposits, and schedule always beat Playbook text. If you teach an answer that fights the Playbook, that answer can help this customer now. The Playbook change waits. You will see Current versus Proposed. Publish proposal is separate from Publish Playbook.
Lead Closer Knowledge (this agent only) is warranties, house rules, and answers that are not tied to one service. Click Add. It is a fallback when the Playbook does not cover the question. It cannot set a price or authorize a booking. It is not the same as ShopWrker memory or the assistant knowledge library.
Learnings is the review list beside Lead Closer Knowledge. Proposed reply changes show up here with their source and which replies they would affect. Approve activates a change. Reject throws it out. Revert turns off guidance that is already live. Teaching a better answer in a conversation or in Test files a candidate. Live texts do not change until you review it.
Auto, Draft, and Off
Response Mode is how much Lead Closer is allowed to do on live texts.
The first time you Publish, you pick Off, Draft, or Auto. Later Publishes keep the mode you already have unless you change it yourself.
A payment that already came in still processes if Response Mode is Off. What the customer is told follows the mode. Off sends nothing. Draft writes composer text. Auto can send the confirmation.
Services: Triage or Close
On Configure, use Add service, then open the service. Pick Triage or Close. You can also choose Do not offer.
Triage means Lead Closer can talk about the service and collect what you need. It cannot quote a price, send a payment link, or book.
Close means it can take the customer through agreement, a ShopWrk Pay deposit, and booking.
Variants are the size or option add-ons on that service. Include or exclude them. You do not set Triage or Close on a variant by itself.
If a service is missing price, deposit rules, a Playbook, or a free bay and installer, Lead Closer will not pretend it is ready. Close does not fall back to Triage.
Handoff in Conversations
Live texts live in Conversations. If the customer needs a shop answer Lead Closer does not have, Conversations pauses Lead Closer on that thread.
Click Add the answer to teach the missing answer, then Continue, then choose who sends the text. Click I’ll reply myself if you want to write it. The thread switches to You’re replying. Let Lead Closer reply again puts it back on pause until you finish teaching or send.
If you send while Lead Closer would still reply, you get Send and take over as the default, Send and keep AI active, or Cancel. Keep AI active leaves your message in the thread. Lead Closer waits for the next customer text.
If the work is outside your services, mixed with work you do not offer, or something Lead Closer must not handle, it stops for that whole contact. It does not tell the customer that a person is taking over.
Resume is something you do on purpose. There is no timer that hands the thread back.
Follow-ups
Follow-up count and the no-response lost stage live under Configure, Advanced, then Shop policy. You can set zero to six follow-up tries. Zero turns follow-ups off. Follow-ups above zero need a pipeline and a lost stage before Publish will go through. The pipeline is the stages a deal moves through. The lost stage is the one you use when a lead goes quiet.
Auto sends follow-ups inside your outbound window. Draft writes a follow-up in the composer and will not overwrite text you already typed.
After the last try, Auto marks that deal lost for no response. Draft only recommends. If the customer texts back later, the deal can come back. A new inbound cancels a live follow-up.
ShopWrk Pay deposit, then schedule
Close does not drop an invoice link in the thread.
After the customer agrees, ShopWrk saves the agreement and the time they asked for. The bay is not held yet.
Then ShopWrk Pay issues one deposit link that lasts 30 days. The amount is locked at agreement from your catalog. If the job changes, the old link is revoked and a new one is issued.
When the deposit is paid, ShopWrk checks that a bay and a qualified installer are still free, then schedules the job on the calendar. If you Close with no deposit, the same scheduling step runs right after agreement.
Payment can land after someone else took the slot. The money is still captured. The job is not booked. A person on your shop has to pick it up. Lead Closer will not tell the customer they are booked.
Google Calendar sync is extra. If Google fails, the ShopWrk booking still stands.
A 30-day deposit link does not hold the bay. Customers pay when they are ready. The schedule is checked at payment, not at the moment you sent the link.
Analytics
Open the Analytics tab on Lead Closer. Numbers come from real paid deposits and collected revenue on booked jobs, not from sample data. No-deposit bookings are not counted as primary revenue.
You will see revenue, which services produced it, where leads stop, what needs attention, and results by day.
